Turn a task into a workflow

Define the input, decisions and observable result before choosing tools.

Start with a result you can check

Imagine a small business receiving contact requests. The useful result is not ‘the automation ran’. It is that each valid request is recorded, routed to the right team and acknowledged once. Write that sentence before drawing a workflow.

Name the event that starts the work: one submitted form. Then list the data the next steps need, such as an email address and a request category. A field being present does not prove it contains a useful value: an empty string is still a field.

Separate decisions from actions

A decision chooses a path. An action changes something. ‘Is an email present?’ is a decision; ‘store the request’ and ‘send an acknowledgement’ are actions. Put validation before actions that depend on that data.

For a missing email, choose an explicit outcome: record a validation problem and stop the message step. Do not quietly send to a fallback address. In Kyrelio these actions are simulated so you can inspect their effects safely.

Follow one record all the way through

Use a valid example: email learner@example.test, category Sales. Predict the stored record, the selected team and the message recipient. Run the example and compare each result with your prediction. Then repeat with an empty email and a different category.

If the recipient is wrong, inspect the value passed into the message action. The problem may be in an earlier field mapping even when the message step itself reports success. Find the first point where actual data differs from expected data.

Try it yourself

Sketch a workflow for a support request. List one trigger, two actions and one condition. Write expected results for a valid request, a missing address and a duplicate request. Decide which steps should never run for each case.

Review your sketch: can somebody else tell what starts the process, what each step receives and what proves it worked? If not, clarify those parts before adding more steps.
